The wall every career school hits with a horizontal CRM

Career schools don't have a CRM problem. They have a student-record problem — and no horizontal CRM was built to solve it.

Every career school hits the same point.

The admissions team is running on Salesforce or HubSpot. Financial aid is on a payment tool. The registrar is on a spreadsheet. Applications live in one system, contracts in another, attendance in a third, communication in a fourth. Every rep asks the same student the same question because nobody's system agrees on the answer.

The typical answer to that break-point is: buy a better CRM. Sales teams called and said Salesforce is the enterprise choice. Marketing consultants recommended HubSpot. Someone said GoHighLevel is cheaper. A tool called Klaviyo showed up because it sends good email.

None of them will fix your problem. Because your problem is not a CRM problem.

Why horizontal CRMs are the wrong tool for a career school

A CRM was designed to hold contact records for sales deals. Deals have a natural shape: prospect → opportunity → closed-won or closed-lost. That shape maps cleanly onto a horizontal CRM's data model.

Career-school admissions doesn't have that shape. What career-school admissions has is a student record. And a student record is different from a contact record in ways horizontal CRMs cannot reconcile.

Application status is not a deal stage. A student who applied and got approved is not the same as a student who applied, got approved, signed a contract, made a deposit, and started attending. Each of those states triggers different downstream work: financial-aid paperwork, cohort assignment, attendance tracking, payment-plan activation. A single "deal stage" collapses all of that into one field.

A student record is not a marketing profile. Klaviyo's contact profile knows what emails a person opened. It doesn't know their program of interest, their co-signer, their transcript status, their financial-aid gap, or their contract signature. Those aren't marketing attributes. They're the underlying data of the enrollment relationship.

A payment plan is not a line item. In a horizontal CRM, revenue is a number on a deal. In career-school admissions, payment plans are structured, NMLS-licensed, multi-year financial products with their own contract, signature, and servicing lifecycle. You cannot tag that onto a contact.

A cohort is not a segment. Career-school programs run on cohort start dates. The August 12 cohort has 32 seats, closes for enrollment on July 25, and produces its own downstream reporting for accreditation. A segment can hold a list. It cannot hold a start date, a seat count, an enrollment cutoff, or an accreditation lineage.

Horizontal CRMs miss all four. Which means the schools running on them build workarounds. A separate SIS. A separate payment tool. A separate financial-aid tracker. A separate attendance system. The workaround is the tool stack. And the tool stack is the problem.

What a career-school CRM has to do

Four things.

Hold the student record from inquiry to placement. One record per person, from the first inquiry through the enrollment contract, financial aid, attendance, graduation, and job placement. Not a contact profile that hands off to a separate SIS at the enrollment line. One record, one identity, one longitudinal history.

Sit under NMLS-licensed payment servicing. Career-school payment plans are financial products regulated in 48 states. The CRM has to sit under a real payment ledger, not integrate with one via a partner integration that breaks every quarter. The student's plan, remaining balance, next auto-charge, and delinquency status all belong on the student record because they are part of the student relationship.

Model the admissions data. Applications with required-field logic. Co-signers as their own contact records linked to the primary student. Contracts as first-class objects with e-signature routing. Cohorts as scheduled entities. Attendance as an ongoing time series. Documents like FAFSA and transcripts as attached artifacts with completion states. The data model has to be the admissions data model.

Be the substrate for AI that runs on the school's actual context. If the AI in your CRM doesn't know what the Aug 12 cohort is, or what the school's actual financial-aid packet contains, or how the school routes co-signer requests, the AI can't do anything useful. It becomes a generic auto-reply on top of a generic contact profile.

Those four together — student record, payment substrate, admissions data model, AI-grounded context — are what "a CRM for career schools" actually has to mean.
