02 · Day one

From launch to enrolled in a single day

The most memorable moment of the launch didn't come from a metric. It came from a person.

Alexandria found the academy's website on April 22, the day Pivot Point's web agent went live. She opened the chat, had a real conversation about one of the academy's programs, and asked about class dates and what the program covered. The web agent offered her a tour. She booked it directly through the conversation. She toured. She enrolled.

The entire loop from first website visit to enrolled student happened in hours, on the same day the system went live, without an admissions rep touching the conversation until the tour itself.

A chat window without a conversation

The academy was already attracting prospective students online. The team believed it could do more with them.

The existing website chat was there to receive inquiries. It didn't do much beyond that. It couldn't ask a prospective student what program interested her. It couldn't tell her when the next cohort started. It couldn't book her a tour. It couldn't tell the admissions team who was on the site or what she was looking for. Website traffic was arriving. Most of it wasn't converting.

Before Lumion, the academy was capturing about 2 qualified leads on their best days. Roughly 50 in a typical month. Demand was there. Conversion wasn't.

Pivot Point Academy's admissions team worked with Lumion to redesign the website experience around that insight. The academy deployed a web agent from Lumion, configured to start conversations grounded in the school's actual programs, class dates, and admissions process. The chat window stopped being a form. It became an assistant.

The admissions team stayed in the loop from day one. They reviewed real conversations, refined responses, and adjusted engagement timing so the web agent felt like an extension of the admissions team rather than an interruption.

Pivot Point deployed a lead capture experience capable of collecting meaningful contact information and qualifying prospective students in real time. Not a form. A conversation.

The web agent's responses reflect Pivot Point's specific programs, upcoming class dates, and school offerings. If a visitor is on the cosmetology program page, the opener is about cosmetology. If she's on barbering, it's about barbering.

When a visitor is ready to take the next step, the web agent can book a tour on the spot. No handoff. No wait for a rep to call back. The tour lands on the admissions team's calendar during the same visit. This is why Pivot Point's first enrollment happened on launch day.

School staff can continually refine and improve conversations based on real-world interactions. As programs change, cohorts open, or new questions come up, the admissions team updates what the web agent knows. The system gets better because the people running it improve it.

Beyond admissions

With admissions dialed in, the academy is expanding Lumion's role.

Customer service automation for enrolled students is next. Additional AI-driven workflows for specific operational functions. Deeper enrollment-journey automation across email and text. The academy is building the same "conversation, not form" pattern into every part of the student experience, not just the first website visit.

Each expansion runs on the same student record. The conversation with the web agent at the top of the funnel, the payment plan the student signed after enrolling, the messages that go out during their program. All of it lives on one record.
